At Huayun Culture and Tourism Group Co., Ltd., we want travelers to understand how bookings, cancellations, and refunds work before departure. This policy explains the cancellation terms for Huayun special tourist train journeys booked through our official website, mini-program, or customer service channels.
These terms serve as supplementary agreements to the travel contract. In the event of any inconsistency with the main contract, the supplementary agreement shall take precedence.
1. Booking Cancellations
We do not offer free change-of-mind cancellations.
Because the Huayun special train journey is chartered, advance payments are required and cancellation charges apply based on the timing of your cancellation.
If you cancel for personal reasons, the cancellation terms below will apply.
2. Eligibility for Refunds
Any refund, where applicable, is calculated after the relevant cancellation charge has been applied.
To qualify for a refund, the cancellation must be made according to the timing rules below and before departure.
3. Non-Refundable Amounts
The following amounts are non-refundable:
- the travel deposit, if the booking is canceled for personal reasons after the deposit has been collected;
- the deposit, if the balance is not paid in full 30 days prior to departure;
- the amount charged under the applicable cancellation window if the booking is canceled within that period.
If the balance is not paid in full for personal reasons, it is treated as an automatic waiver, and the deposit will be non-refundable.
4. Cancellation Charges by Timing
Cancellation charges apply as follows:
- 15 to 29 days before departure: 50% of the contract amount will be charged.
- 1 to 14 days before departure: 70% of the contract amount will be charged.
- On the day of departure: 85% of the contract amount will be charged.
If the booking is canceled for personal reasons after the travel deposit has been collected, the deposit will be non-refundable.
5. Changes to Travel Arrangements
Travelers can modify their travel arrangements up to three days before departure without incurring any penalties, except in cases where airline tickets have already been purchased on their behalf.
6. Cancellation Request Process
To request a cancellation or change to your travel arrangements, please contact our exclusive customer service or use the official website or mini-program.
Please have your booking details ready, so your request can be reviewed quickly.
7. Refunds
If a refund is due after the applicable cancellation charge has been applied, it will be calculated accordingly.
8. Payments and Booking Terms
Travel agencies are required to pay performance bonds to the railway department and make hotel deposits in advance because the Huayun special train journey is chartered.
Balance must be paid 30 days prior to the departure date.
9. Supplementary Agreement
These cancellation and refund terms serve as supplementary agreements to the travel contract. In the event of any inconsistency between this policy and the main travel contract, this supplementary agreement shall take precedence.
